Go to the Account Settings page located in the navigation bar, and choose the Booking Page tab.
A “Booking Code” is a unique identifier for your booking page that you can type into the text box on the Booking tab of the Account Settings page. The “Booking Code” can be whatever you want it to be, but people typically use their first and last name for this. To create your “booking code” simply start typing in the text box that says “yourBookingCode” to create it. A green checkmark indicates your booking code is valid and no other user has already taken it. If you see a red X, this means you will need to enter something else instead.
Once created, you will find a "copy link" button below to paste it where you would like. You can use the available keyword on your Ringy SMS and Emails, #my_booking_link, to send it to leads in order for them to book an appointment with you. You will find the available keyword to select below any text box and email body. Once sent, that populates the actual link for them to open and book an appointment with you. Additionally, when you click on a leads response in the Inbox page or click on a leads phone number anywhere in Ringy, you will be taken to the View Lead page. You will find a tab titled "CALENDAR / APPTS," and by choosing "CREATE APPOINTMENT," can book the appointment for the lead as opposed to sending them the link to book themselves.
After you have made this code, the rest of the fields will populate for you to create your Booking page.
Next, you can upload an image (max 5MB), input a booking page title, and booking instructions. Keep an eye on the Booking page preview on the right hand side to see how this would look when your leads open it. You also are given the option to "redirect to this URL after appointment is saved." This means once an appointment is made through this booking page link, a lead would be redirected to that URL. This is optional, so you can leave it blank for no redirect.
Now you will set the appointment duration, i.e. how long to block off for each time slot as well as the earliest, and latest you would be available for an appointment.
To specify how many days out a lead will be able to book an appointment, enter the preferred number of days in the section, "Maximum booking days out." It will default to 180 days unless customized.
The Additional appointment fields section is how you can collect additional information when leads schedule an appointment with you. Please note, they are already required to fill out their first name, last name, phone number, and email address. Comments are also included as an option for the lead to add. If you would like any other information though, select the Add Field button, fill out the field name, and select the checkbox whether you would like this to be required for the lead to fill out or not while they are booking an appointment. For example, if you would like to also collect their birthdate while they're scheduling the appointment, you can add it as an additional field.
Customizing the page appearance can allow you to personalize the experience and add some professional flare! For example, changing the "Time slot background color" to purple will make the booking page appearance match our Ringy logo. Go back to the Booking page preview to see how it looks!
The next section is where you identify which days of the week you are available for a lead to book an appointment. Let's say you work only partial hours on Saturday, still select Saturday and then you can customize the times when you are available by simply unchecking the times you are not available.
General notification options are for specifying how you would like to notify yourself for appointments made as well as send confirmation and a reminder to your lead.
If you would like to be alerted by both text and email, select each checkbox.
We recommend triggering an automated action when a new appointment is booked. For example, having an automated action such as Appointment Set, which skips drips for leads and adds the disposition tag "Appointment Set" on the lead as well.
This is an example of the automated action we selected to trigger as seen above. Automated actions are created in the Account Settings page under the Manage Account tab. Continue completing your booking page first and do not exit this tab or else you will have to start over. You can always come back later to select the option to trigger an automated action when a new appointment is booked.
Select the option "Send my leads a reminder text shortly before the appointment" if you wish to send an automated text reminder to your lead before the appointment is scheduled. You can set up a maximum of 5 appointment reminder text messages. We recommend when using our available keywords to personalize the text with you and your leads information, to click on them below the text box in order for it to populate into the message rather than typing it out. This helps avoid potential errors.
Select the option "Send my leads a confirmation email when they make an appointment" in order for this email to be sent to them as soon as the appointment is booked. Below the email body, there are many options to allow you to personalize the email further.
The last option is how you can connect this booking page to your Google Calendar. If you have already synced a Google Calendar to your Ringy account, you will see this option. If you have not, this option will not be available. If you do not see the option to connect it, then click the Save Calendar button, and now choose the Google Calendar page on the navigation bar on your Ringy account to get one synced. Please note, we only integrate with Google Calendar. Once you have one integrated, you can come back to the Booking Page tab to complete connecting your Google Calendar to it.
Select which calendar you would like to save new appointments to and choose which calendar(s) you would like to mark yourself as busy with during Google Calendar events. In other words, if there is an event already scheduled on your Google Calendar, for example a dentist appointment, it will be sure no leads can book with you during that time. This ensures you are not double booked. You can only save appointments to one calendar, but you can select multiple calendars to mark yourself as busy with. Additionally, depending on how you organize your calendar, you can select whether or not to mark you as unavailable during all-day Google Calendar events.
Don't forget to click Save Calendar, and now you're ready to send this to your leads so they can book times with you at their convenience. If you ever make any changes to the Booking Page tab later on, be sure to scroll down to the bottom of the page, and click the Save Calendar button or Undo Changes as needed.
